Job Description Job Description A prominent law firm is seeking an experienced Legal Executive Assistant – IP to provide high‐level administrative and patent prosecution support to partners and associates within its Intellectual Property practice. This position requires advanced knowledge of U.S. and foreign patent prosecution, exceptional organizational skills, and the ability to manage complex calendars, dockets, and client communications in a fast‐paced legal environment. Responsibilities Provide executive‐level administrative and practice support to IP partners and associates Assist with all aspects of U.S. and foreign patent prosecution at every phase, including preparation and electronic filing of patent applications and related documents Prepare, review, and maintain official patent correspondence in accordance with firm standards, including information disclosure statements, office action responses, assignments, formality documents, foreign counsel instructions, and fee payment materials Monitor and manage patent prosecution dockets to ensure deadlines are met and accurately communicated to the docketing team Prepare client reporting letters, reminders, and filing confirmations Coordinate attorney schedules, manage complex calendars, and arrange domestic and international travel Prepare and process expense reimbursements, new matter openings, and conflicts checks Serve as a primary point of contact for status updates, inquiries, and internal and external communications Maintain organized electronic and physical files and ensure compliance with firm procedures Assist with special projects and ad hoc requests as assigned Qualifications Bachelor’s degree preferred; Associate’s degree with relevant experience considered 3–5 years of patent prosecution experience required, preferably in a large law firm or IP legal department Strong working knowledge of U.S. and international patent law and prosecution procedures Experience using CPI or comparable patent docketing systems Exceptional organizational, writing, and multitasking skills with strong attention to detail Ability to manage multiple deadlines, anticipate issues, and exercise sound independent judgment Excellent client service skills and professional communication abilities High degree of discretion and judgment when handling confidential and sensitive information Proficiency in Microsoft Office and adaptability to new legal technologies Ability to work both independently and collaboratively with attorneys, clients, and administrative teams Work Environment & Compensation Hybrid role requiring on‐site presence three days per week Salary range: $55,000–$80,000, based on geographic location, experience, internal equity, and market factors Comprehensive benefits package including healthcare, paid time off, retirement plans, life and disability insurance, discretionary merit bonuses, and professional development opportunities
