Job Description
  • Manage and organize executive calendars, including scheduling meetings and appointments.
  • Prepare and edit correspondence, reports, and presentations with accuracy and attention to detail.
  • Serve as the primary point of contact for internal and external communications on behalf of Partners and attorneys.
  • Prepare engagement letters and new client/matter memos, and update active client/matter number lists to assist with the new business process.
  • Assist in promoting business development through entry of activities, maintenance of contacts, and assembling of mailing lists.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Assist in preparing materials for meetings and presentations.
  • Maintain an organized filing system for documents and records.
  • Collaborate with other administrative staff to ensure smooth office operations.

The Successful Applicant

A successful Executive Assistant should have:

  • High school diploma or equivalent; Bachelor's degree preferred
  • 3+ years of experience in legal or professional services environments.
  • Strong organizational and multitasking skills to manage complex schedules and tasks.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Proven ability to handle confidential information with discretion.
  • High attention to detail and accuracy in all tasks.
  • Proactive problem-solving skills and a professional demeanor.
