Civil Litigation Legal Secretary

· Job Type: Hours 9:30 a.m. – 5:00 p.m.

· Location: Pasadena, California – In Person/In Office (No Remote Option)

We are a firm located in Pasadena specializing in civil litigation, healthcare law (not med-mal cases), business transaction cases, and regulatory and administrative board defense with 35+ years of combined experience. Requirements:

• Mastery of California State court systems, including filing and hearing procedures and case deadlines consistent with state and local rules;
• Expertise in preparing and editing court pleadings;
• Expertise in handling and serving discovery related pleadings and documents;
• Expertise in managing firm and attorney calendars;
• Ability to prepare and maintain electronic case file system and hard copy files;
• Ability to manage stressors at work in a fast-paced environment;
• Effective communication skills;
• Detail-oriented and organized;
• Flexible/Positive Attitude;
• Resourceful;
• Self-starter/Articulate;
• Provides backup support/team player;
• Familiarity with remote conferencing platforms (e.g., Court video conferencing, Zoom, GoToMeeting, etc.);
• Word processing and proofreading;
• Advanced skills with Microsoft Suite Applications (e.g., Word, Excel, PowerPoint) and Adobe Suite Applications (e.g., OCR conversion, redactions, bates stamping);
• Basic office and administrative management (e.g., copying, vendor communication, office supplies);
• 4+ years of civil litigation experience.
• Must have trial prep experience.

Preferences:

• Ability to conduct basic investigation (e.g., Westlaw research, witness or judicial background searches, locating relevant litigation or business transaction forms, be able to obtain State and Local rules, locating and obtaining relevant attorney resources);
• Experience with document productions involving HIPAA protected information;
• Prior experience in a big firm environment;
• Experience with corporate transactions preferred, but not necessary.
